Leads falling through the cracks is not a complicated story. It goes like this: you're in the middle of a treatment, or with a customer in the store, or driving. A WhatsApp message comes in: "Hi, can I get some details?" You tell yourself: I'll answer in an hour.
An hour later, three new messages have arrived, plus a call from the kindergarten and a supplier trying to reach you. That message got pushed up the screen. Two days later, you no longer remember it exists. And the person who sent it? They've probably already signed with someone else.
I don't need a study to know that inquiries get lost this way. I see it in almost every business I walk into. The good news: it's a solvable problem. Here's why it happens, and what to do about it.
WhatsApp is great for conversation, terrible for tracking
WhatsApp was built for chatting, not for running a business. There's no "inquiry status". There's no list of people still waiting for a reply. And messages from clients mix in with family and friends.
Even WhatsApp Business, the version made for businesses with labels and quick replies, only helps up to a point. A label is nice, but someone has to remember to apply it, and then remember to come back to it. In the end, it's still a chat. Not a system.
Why leads fall through the cracks: your inquiries are scattered
Take a moment and count the channels people use to reach you: WhatsApp, phone calls, the form on your website, maybe Instagram or Facebook messages. Four or five different doors, and not one central list.
When each channel lives on its own, each channel is a bucket with a hole in it. The inquiry didn't "get lost" in some mysterious place. It simply sat in a channel nobody checked in time. That is the whole secret of the cracks: nobody owns them.
Lead management, without the big words
A lead is simply a person who reached out and showed interest. Lead management means making sure every such inquiry gets a row in one place: who reached out, from where, what they asked for, what the status is, and when you're getting back to them.
That's it. That's the whole idea. Even a tidy spreadsheet counts as lead management. The only question is who fills it in: you, by hand, at the end of a busy day? Or does it fill itself?
What lead tracking looks like when no one slips through
A connected intake system does a few simple things:
- Every inquiry, from every channel, lands in one list: automatically, with no manual typing.
- The person gets an instant confirmation, something like "Got it, we'll get back to you by tomorrow morning", so they don't feel like they're talking to a wall.
- If you haven't replied within the time you set, a reminder pops up. Not in your memory. In the system.
- You see one screen with all the open inquiries, instead of digging through four apps.
It also matters to me to say what a system like this does not do: it doesn't run the conversation for you, and it doesn't close deals. It only makes sure no inquiry sinks. It turns out that alone is worth a lot.
What you can do today, without buying anything
- Set up quick replies in WhatsApp Business, so even a partial answer goes out right away instead of "later".
- Pick one place, even a simple spreadsheet, where every inquiry from every channel gets entered, the same day.
- Once a week, ten fixed minutes: go over all the open inquiries and tie up loose ends.
None of this is sophisticated, and it takes discipline. But it works far better than "I'll remember".
